Viacom Inc Registration Manager - VidCon in Missoula, Montana

Overview and Responsibilities

The Registration Manager oversees all aspects of registration and credentialing for VidCon’s internally produced annual events, along with advising and working with our global production partners. Reporting to the VP of Marketing, the Registration Manager will focus on the registration process management, day-to-day registration operations, and on-site execution. He/she is responsible for project managing VidCon’s ticketing platform (currently a proprietary one, likely switching to something new), RFID partner, Lottery developer, and on-site registration logistics. VidCon is seeking someone who has experience in event registration management, is skilled in using a variety of software platforms, and is extremely detail oriented, flexible and nimble, and analytical in nature.

Responsibilities include but are not limited to:

  • Pre-event Registration duties:

  • Oversee all logistics of ticketing and registration including the planning of the build, staffing, and signage for each registration location

  • Determine the equipment, supply, and inventory needs (badges, lanyards, wristbands, etc) in tandem with event producer

  • Plan for on-site sales and coordinate POS devices

  • Copy write Registration/Credential sections of the conference guide and website

  • Report on weekly sales and revenue

  • Manage the training/onboarding of any temp staff aiding in on-site registration

  • On-site Registration duties:

  • Troubleshoot registration challenges/problems

  • Oversee temp staff responsible for credentialing on-site

  • Post-event Registration duties:

  • Report on all attendance numbers, ticket sale revenue, and registrant demographic breakdowns

  • Ticketing platform project management:

  • Build registration pages for all new events and manage online registration

  • Write registration surveys and confirmation emails, and manage banned watch list

  • Identify bugs and areas for improvement, and work to find solutions in real time

  • Oversee ticketing platform integration with other programs (ie. email marketing provider, the website, etc.)

  • VidCon Lottery project management:

  • Work with developer and programming team to run five lotteries per year

  • Handle last minute, changes, cancellations, additions to any of these lottery systems

  • Intellitix project management:

  • Primary VidCon point for RFID implementation across all VidCon events

  • Meet weekly/bi-weekly with Intellitix to determine on-site plan and implementation logistics in partnership with the Director of Security and event producer

  • Lead the integration of Con-Tix (or any ticketing software) and the Lottery software with Intellitix

  • Receive and analyze reports

Basic Qualifications

  • Bachelor’s degree or equivalent combination of education and work experience

  • 3-5 years' experience in event registration management with experience across a variety of web/app based platforms and managing an on-site team

  • Displays strong critical thinking, organizational, and analytical capabilities

  • Strong project management skills

  • Demonstrates strong verbal and written communication skills

  • Successfully able perform in a fast-paced, dynamic environment

  • Ability to present information and respond to questions from a wide variety of sources, ranging from consumers to senior executives

  • Basic mathematical skills applied to ticket sales, revenue, debits, credit, and reconciliation

  • A good problem solver who can deal with a variety of scenarios with many variables

  • Strong understanding of event operations and logistics

  • Quick learner who can retain a lot of information and apply it to their day to day

  • Ability to effectively prioritize workload on multiple projects & events simultaneously

  • Flexible and nimble, able to pivot with short notice

  • Passion for online video

  • Strong computer skills, including Google Docs, PowerPoint, Keynote

  • Strong strategic, tactical, and linguistic skills

  • Deadline-oriented, effective multi-tasker

  • Ability to travel up to 30% domestically and internationally
